Automatic expense recognition

Automatic expense recognition turns a supplier document into a filled-in expense in MagniFinance. You drop the file on the Documents page and the expense is created for you — you review it instead of typing it.

TL;DR
  1. Drop a PDF or a photo of the document on the Documents page
  2. Within seconds to a couple of minutes the row fills itself in
  3. Check what was read and save

What you drop

Anything you already have of the document:

  • a PDF of the invoice, as sent by the supplier
  • a photo or a scan of a paper document (jpg, png and other common image formats)

You do not have to choose a supplier or a document type first. That is what recognition is for.

What comes back filled in

Once the document is recognised, MagniFinance fills in:

FieldNotes
SupplierMatched on the tax id; if the supplier is not in your list yet, it is created automatically
Invoice numberThe supplier's own document number
DateThe document's issue date
Due dateWhen the document states one
CurrencyThe currency the document is issued in
ATCUDThe unique document code printed on Portuguese documents
TotalsNet, VAT and gross
VAT splitThe taxable amount and the VAT amount per rate

The row updates live

Recognition happens in the background. The row you just created stays on screen and updates itself as the document moves through the queue and then gets filled in — there is nothing to refresh and no page to come back to.

While the document is waiting, the row shows its place in the queue and an estimated wait, for example (working…) (2nd · ~2 min).

Where to go next

  • How it works — what the AT QR code gives us, what the AI reads, and what happens with duplicates, multi-invoice PDFs and documents that cannot be recognised.
  • Recognition tiers — QR, Main and Main with lines.
  • Queues and credits — the free regular queue, its limits, and the credit-based fast track.
  • Speed — how long a document actually takes.
  • Privacy — where the processing happens and who can see what.
